POSITION DESCRIPTION

The IT and Admin Specialist plays a dual role in ensuring the effective functioning of both the IT infrastructure and administrative facilities. This position is responsible for maintaining a reliable and secure IT environment and ensuring efficient office administration and facilities management. The role requires hands-on technical support, coordination with multiple departments, and proactive problem-solving to support staff, clients, and internal operations.

RESPONSIBILITIES

Tasks and responsibilities for this position include, but are not limited to, the following:

Monitor and manage security surveillance systems and ensure recordings are available when needed
Monitor and ensure the availability and standard compliance of ADSL internet connections
Troubleshoot and maintain the local network infrastructure (e.g., switches, ports, patch panels, cords)
Assist with off-site IT support during outreach events or equipment deployments
Oversee and maintain classroom IT equipment, including desktops, projectors, and sound systems
Support online exam setup and troubleshooting (e.g., connectivity, startup, closing)
Provide hardware and software support for desktop computers
Maintain an up-to-date IT asset inventory and keep an accurate track of all IT equipment in the office
Assist with server maintenance and perform basic configurations (e.g., user accounts, mailbox setup)
Monitor and manage IOPS software and scanner to ensure functionality and weekly backups
Provide technical awareness/training to office users where applicable
Support conferencing systems and remote communication tools
Work closely with the IT team in Egypt and provide support and training as needed


Administration Responsibilities:


Overseeing and coordinating the day-to-day administration functions inside Alex's office
Responsible for supervising security staff and handling their invoices and any security issues that might occur
Responsible for the follow-up and supervision of the performance of the cleaning company by directly guiding their cleaning supervisor and reporting any issues that might occur
Handle Alexandria office procurement by issuing purchase orders and ensuring compliance with Amideast's centralized procurement policies and procedures
Handle and manage the asset management for Alex's office by coordinating with the administration and finance department in accordance with company policies
Maintain accurate inventory records through a tracking sheet for Amideast materials, including furniture, and conduct regular inventory audits to ensure the accuracy and completeness of Amideast stock
Monitor the archiving of all Alex’s corporate agreements/lease contracts and service agreements. As well as preparing and updating any contracts.
Responsible for dealing with shipping companies
Assists in the preparation of the annual budget by compiling the required data
Handle the monthly invoice payments of all services provided for Alex's office
Maintaining records of all admin operations activities and preparing the required reports
Coordinate all domestic travel logistics and accommodation for Cairo staff traveling to Alexandria and for Alexandria staff traveling within Egypt, including transportation and accommodations
Oversee catering, venue setup, and special arrangements for meetings and events, including in-office events in Alexandria, ensuring all hospitality needs are met for participants
Control Amideast mobile phones and USB distribution through a tracking sheet with all the employees' mobile/USB package rates
Responsible for reviewing cell phone and USB bills
Ensure classrooms and labs are properly equipped and fully prepared for scheduled sessions
Perform other administrative and operational duties as assigned

Qualifications and Skills

Required Qualifications:
Bachelor’s degree in information technology or a related field
4–6 years of relevant experience, including 2+ years in a similar dual-role position
Strong understanding of network infrastructure design and troubleshooting
Experience with ADSL internet and IT hardware/software support
Proficient in using security camera systems
Familiarity with conferencing tools and server configuration basics


Administrative Skills:
Excellent organizational and coordination abilities
Strong communication skills in both English and Arabic
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Detail-oriented with a high degree of accuracy
Strong negotiation and problem-solving skills
Ability to work independently and collaboratively
Punctual and dependable

Preferred
CompTIA Network+ Certification
CompTIA A+ Certification
CCNA (Cisco Certified Networking Associate)
TOEIC score of 700 or equivalent
