POSITION DESCRIPTION

The Program Assistant, Fulbright is a key member of the department charged with managing the Fulbright Foreign Student Program for the Middle East and North Africa. The incumbent will work in tandem with the assigned supervisor to support a student caseload, and perform placement activities. The incumbent will also assume responsibilities that pertain to and require the assistance of the Fulbright department as a whole. Therefore, the Program Assistant must be organized, diplomatic, team-focused, and pay keen attention to detail.



RESPONSIBILITIES
Provide administrative duties including:

Assist with the university placement and monitoring of participants from the Middle East and North Africa region
Coordinate university application submissions and track admission decisions
Correspond with participants, Amideast field staff, U.S. colleges and universities, U.S. Department of State representatives, and Fulbright Commission staff, as needed
Support department-wide data management and analysis projects, including annual data calls, and data review and cleaning efforts, as assigned
Assist with the planning and implementation of annual Fulbright participant workshops and seminars
Accurately maintain participant files and database records
Assist supervisor with coordinating and conducting university placement consultations with nominees
Support supervisor in arranging post-nomination and pre-departure orientations for incoming participants
Arrange and track participant incoming and outgoing travel logistics
Process participant payment requests
Enroll participants in program health benefits coverage, maintain their enrollment, and assist them with questions or issues concerning their benefits
As requested, assist with interviewing prospective Program Assistants and interns
Contribute to department’s social media efforts
Assist with the supervision and training of new department staff and interns
Represent Amideast and the Fulbright Program to visiting university representatives and at conferences or seminars
Provide general programmatic and administrative support to the Fulbright department.

QUALIFICATIONS AND SKILLS

Bachelor’s degree
Minimum two years’ relevant experience in an office environment
Precise attention to detail, strong organizational skills, ability to multi-task and work under pressure
Excellent written and spoken communications skills
Experience using Microsoft Office, with special focus on Microsoft Excel experience and knowledge of basic functions
Interest in the Middle East and North Africa and/or international education desired
Experience working 
with international or domestic students is a plus
