POSITION DESCRIPTION
The Senior Admin Assistant position performs administrative office support to all the internal and external clients to ensure the efficient operations of the Administration Department.
RESPONSIBILITIES
- Conducts routine, periodic, or special inspections to determine repair and maintenance work necessary to prevent breakdowns of facilities, machinery, and equipment in the Amideast Cairo office
- Handling the renovation and painting in the Amideast Cairo office to maintain and standardize the professional image of the organization
- Maintain the professional set up and look of classrooms and Customer Service area regularly to meet Amideast quality standards to better serve external clients
- Responsible for performing general maintenance on firefighting systems/equipment and maintaining a clean environment in the department facilities
- Coordinating daily facility logistics through the Administration ticketing system
- Responsible for supervising security staff and handling their invoices and any security issues that might occur
- Responsible for the following up and supervision of the performance of the cleaning company by directly guiding their cleaning supervisor and reporting any issues that might occur to the Administration and Procurement Lead
- Handle Amideast car reservation requests received from staff to ensure the proper application of the Amideast “Cars Reservation Policy” as well as arranging HQ Visitors' airport pickups
- Assist the Operations Manager in handling all arrangements for airline tickets, train tickets, and hotel reservations for Amideast Cairo staff and HQ visitors
- Responsible for the catering, setup, and any special requests in the arrangement of meetings and events
- Responsible for supervising cafeteria vendors and handling any issues that might occur
- Responsible for monitoring the entering and exiting books from the book storage
- Maintain accurate inventory records through a tracking sheet for Amideast materials, including furniture, and conduct regular inventory audits to ensure the accuracy and completeness of Amideast stock
- Implement and maintain a well-organized and clean storage system for all Amideast inventory, including furniture
- Control the distribution of Amideast mobile phones and data lines through a tracking sheet that includes all employees’ mobile/data line packages and rates and arrange Amideast mobile phones for HQ visitors upon request
- Responsible for reviewing cell phone and data bills
- Responsible for dealing with shipping companies
- Sends any needed documents to the translation office upon request and makes the needed follow-up until it is received
- Handle regular outgoing couriers to HQ and other destinations to be centralized and well-tracked and supervise the distribution of incoming mail and courier packages from HQ and external clients
- Handle the day-to-day administrative requests and tasks that might be delegated to help in improving and developing the department
- Assists in the preparation of the annual budget by compiling required data
- Works closely with the Ministry of Foreign Affairs to release any educational shipments that are received from HQ by sending letters to both the Ministry of Foreign Affairs as well as the “Customs Department” and following the procedures in this respect until the shipment is delivered to the main office
- Responsible for receiving and distributing incoming couriers’ packages from HQ and external clients to be distributed timely among the staff concerned
- Responsible for the renewal of all the annual government payments
- Responsible for the renewal of the residence permits for expats as needed
- Responsible for following up with shipping and courier service providers on airway bills, reviewing related invoices, ensuring they are properly coded and signed by the respective managers, and submitting them to the Finance Department
- Responsible for copying and scanning any needed documents and handling any issues related to the photocopy machines
- Provide administrative and logistical support during events, tests, and meetings as required
- Handle the day-to-day administrative requests and tasks that might be delegated in order to help in improving and developing the department
- Provide administrative and logistical support for all departments
- Backup for the Administration and Procurement Lead
QUALIFICATIONS AND SKILLS:
Required:
- Bachelor’s degree in any relevant field
- Proficient user of MS Word, PowerPoint, Excel, and Internet
- Very good in spoken and written English and Arabic
- 2-3 years of professional experience in a relevant field
- Excellent communication skills
- High teamwork spirit
- Ability to learn quickly
- Planning and organizing
- High sense of responsibility
- Magnificent accuracy
Preferred:
- TOEIC score of 650 or equivalent
