The Program Assistant will interface with the students in public and sponsored programs by conducting placement tests, processing students’ database, and handle students’ inquiries and issues.
RESPONSIBILITIES
• Conduct and correct placement tests and assist walk-in and corporate students in their test takers' levels on PRO-CLASS
• Conduct placement tests on site and off site as needed
• Create certificates and grade reports for public, corporate and Offsite Service Providers (OSPs)
• Create term classes and schedule on Learning Management System (LMS) Conduct data entry on PRO-CLASS for corporate clients
• Collect and update training program data monthly (quantitative and qualitative) and report to Program Lead
• Enroll corporate students in public classes based on purchase order (PO)
• Report to English Language Program Manager and Academic Coordinator on any teacher issue
• Maintain trainers/instructors’ database
• Responsible for conducting evaluations for offsite and onsite for sponsored programs (closed classes)
• Responsible for contacting clients for programming information, updates or changes
• Reports on clients’ complaints to the Program Lead and liaison with clients regarding complaints
Communication and Coordination:
• Create and manage WhatsApp groups to facilitate communication between teachers and participants, ensuring smooth information flow and timely updates
Placement Testing and Grouping:
• Administer placement tests (PT) to assess participants' skill levels and determine appropriate class placement
• Group participants into classes based on their placement test results and distribute them accordingly
Scheduling and Classroom Management:
• Develop and maintain a detailed schedule for classes, ensuring alignment with classroom availability and teacher schedules
• Assign available teachers to classes based on their expertise and availability
• Monitor and manage classroom allocations to avoid conflicts and ensure smooth operations
Attendance and Performance Tracking:
• Track and record attendance for both teachers and participants on a regular basis
• Open and manage online quizzes, track participants' performance, and ensure marks are recorded accurately
• Follow up with participants and teachers regarding attendance issues or performance concerns
Certification and Reporting:
• Follow up with customers to provide attendance and technical reports as required
• Coordinate with the administration department to create and distribute certificates for participants upon course completion
Feedback and Surveys:
• Conduct surveys with clients and participants to gather feedback and improve program quality
Administrative Tasks:
• Update the program tracker sheet on a weekly basis to reflect progress, attendance, and other key metrics
• Support the EL Lead & EL Specialist in issuing invoices for corporate clients and ensure they are shared with the finance department for timely collection
Additional Responsibilities:
• Ensure all program activities are aligned with organizational policies and requirements
• Address any technical or logistical issues that arise during the program
• Maintain clear and organized records of all program-related activities, including attendance, performance, and financial data
• Provide regular updates to his/ her direct manager or stakeholders on program progress and any challenges encountered
• Handle the certifications for Alex office by cooperation with direct supervisor and the Grants department

SCHEDULE
• Occasional weekends (25%) – Weekend to be Thursday and Friday, needs to be onsite Saturday (flexible shift)
• Occasional Evenings (25%) – from 1 to 2 days per week
• Occasional Travel (10%) Once a month
