POSITION DESCRIPTION
The Program Specialist provides essential administrative and operational support to the English Language Department, focusing on corporate educational programs (online and in-person). This role ensures high-quality delivery, efficient coordination, and responsive service to participants and corporate clients.
RESPONSIBILITIES
Program Coordination & Delivery
- Schedule and manage closed English language classes for corporate clients
- Conduct site visits and oversee logistics, operations, and administration of training sessions
- Schedule Zoom sessions and distribute links to instructors and participants
- Manage private tutoring logistics and classroom assignments
Communication & Client Relations
- Create and manage WhatsApp groups for corporate classes and general EL programs
- Communicate regularly with participants via email, WhatsApp, and phone
Administrative & Financial Support
- Report session delivery and attendance to corporate clients
- Track corporate numbers for PO coordination with Sales Manager
- Request monthly invoices and submit backup documentation to Finance
- Organize pay sheets for instructors and trainers for review and approval
- Assist with procurement, travel, and accommodation logistics for corporate clients
Academic & LMS Management
- Administer placement tests and group participants accordingly
- Upload classes, quizzes, and materials to the LMS
- Track attendance and performance; follow up on issues
- Coordinate certificate issuance upon course completion
Documentation & Reporting
- Maintain organized records on Amideast SharePoint
- Update program tracker weekly with attendance and progress
- Provide regular updates and reports to stakeholders
Additional Support
- Observe evening classes as needed
- Assist with grant-related tasks and PMP material access requests
QUALIFICATIONS AND SKILLS
Required
- Bachelor’s degree
- 2+ years of work experience
- Knowledge of or experience in development programs
- Excellent professional communication skills (written and oral)
- Excellent command of MS Office, especially Word, Excel, and PowerPoint
Preferred
- Excellent organizational and multitasking abilities
- Team-oriented with independent work capability
- Ability to work under pressure and meet deadlines
- Detail-oriented and proactive
- TOEIC score of 800 and strong Arabic communication skills
